SUMMARY OF DUTIES
Primary point of contact for the company, responsible for the effective day-to-day operations of the office.  Works closely with the president, executive team and staff; anticipates issues, coordinates resources and creates a positive productive work environment. 
 
QUALIFICATIONS
  • Able to communicate effectively, verbally and in writing with employees, clients and vendors
  • Strong interpersonal skills to represent the company in a positive and professional manner
  • Strong customer service skills to answer phones, transfer calls and schedule appointments
  • Working knowledge of MS Office suite, especially power point and data bases
  • Demonstrated accuracy, attention to detail and follow through
  • Payroll and related human resources experience, desirable
 
DUTIES AND RESPONSIBILITIES
  • Operates as the “right hand” to the company president, representing the company
  • Facilities management for new hires, parking, ordering furniture, equipment and supplies
  • Front desk services for clients and vendors in a customer focused manner
  • Manages master calendar, scheduling client/employee meetings, communicating logistical details
  • Edits, formats and prepares documents and powerpoints
  • Manages and processes mail/documents in relevant e-files
  • Supports company initiatives on behalf of the president; cheers on the team to success
  • Processes confidential documents relating to employee and other legal forms
  • Performs miscellaneous tasks as required for the operations of the business and events
 
PHYSICAL REQUIREMENTS OF THE JOB
  • Frequent sitting at computer and using the phone
  • Occasional lifting up to 50 pounds
  • Performs work indoors in an office with air conditioning and adequate lighting
  • Normal business hours with occasional event days requiring longer days
